AI meeting notes for sales: a checklist for Salesforce teams
An AI note taker can help you revisit a meeting. For a sales workflow, also test whether the output preserves buying conditions, assigns supported next steps and gives reviewers the evidence they need.
Decide what you need after the meeting
Start with the output your team will use: a readable meeting record, a customer follow-up, a manager’s deal review or proposed Salesforce updates. A useful AI meeting assistant for one of those jobs may still need configuration or extra review for another. Test the complete task, including how the result reaches the person who acts on it.
For a Salesforce sales team, write down three concrete questions before evaluating tools: What did we learn about the buying process? What did each person commit to? Which CRM changes are supported by the conversation? These questions keep the evaluation tied to work your team already does.
Use a short transcript with a conditional commitment
Here is a fictional example: Buyer: ‘The budget is approved. Legal still needs to review the agreement. If that clears, we want to decide by October 30.’ Seller: ‘I will send the security pack tomorrow.’ Buyer: ‘Send it to Priya; she coordinates the review.’
The meeting notes should preserve the condition on the date. The sales analysis should identify a budget assertion, an unresolved legal dependency and a seller-owned commitment to send the security pack. Priya coordinates the review; the transcript does not establish that she is the final decision-maker. It also does not establish the deal amount.
Ask for evidence you can inspect
A reviewable finding contains the claim, supporting words, speaker or source line, and whether it is explicit, inferred or unknown. The reviewer should be able to return to the passage before deciding what to do. If the AI meeting notes paraphrase a condition away, the output becomes harder to check.
Use the same example to test corrections. Can you change a mistaken owner? Can you mark a date as tentative? Does removing an unsupported finding also remove the proposed CRM change? Evaluate these actions during the trial instead of judging only the first summary.
Give next steps an owner and a supported deadline
Capture an action as: action, owner, stated deadline, supporting passage and review status. For the security-pack example, the seller owns sending it and ‘tomorrow’ is the stated deadline. Convert that relative date only when you know the call’s date and relevant time zone; otherwise preserve the wording and ask the reviewer to confirm.
A request to send material to Priya does not mean Priya promised to finish the legal review tomorrow. Keep a recipient, an action owner and an approver distinct. Missing owners and deadlines should remain visible as gaps.
Check the Salesforce workflow and data handling
Ask which objects and fields are in scope, how contacts are matched, who reviews changes, and how edits are recorded. Begin with proposals that a person approves. A buyer’s preferred decision date may belong in a note or a custom field rather than the opportunity close date.
Before using customer conversations in any pilot, agree on recording permission, who can view the data, retention, deletion and the providers processing it. Confirm those requirements with your organization. Call Refinery’s current example uses fictional data; live transcript uploads and Salesforce connections are not enabled.
A small evaluation you can run with your team
Choose a few authorized conversations containing an approval dependency, a conditional date and a concrete commitment. Have the same reviewer check each output. Record missed commitments, unsupported findings, owner and date corrections, and minutes spent preparing the result for use. Decide in advance which failures prevent adoption.
Call Refinery’s interactive example lets you trace findings to two fictional calls, edit suggested updates and inspect changes across conversations.
