Privacy policy
Lire en françaisCall Refinery is a pre-launch conversation-intelligence product. This policy describes the information collected through callrefinery.com and how we handle it. Privacy contact: Devon Allary, 10951811canadainc@gmail.com.
1. What this launch collects
When you sign up for a demo, we collect your name, email and optional company to respond about a demo and early access. Demo signup does not create a private analysis account. When you apply for a pilot, we collect your name, email, company, role and the workflow information you choose to provide, such as your CRM, team size, current tools and evaluation timing. We use this information to assess fit, respond and discuss a pilot you requested.
When you contact us, we collect your name, email, subject and message. Your message is saved and forwarded to 10951811canadainc@gmail.com so Devon can reply. Do not include customer transcripts, recordings, credentials or sensitive personal information in these forms.
2. Conversation data and product status
The public launch uses fictional transcripts in its interactive demo. It does not currently accept customer transcripts or recordings, connect to Salesforce, or make CRM changes. Selecting a demonstration signal or approving a demonstration suggestion changes only the example on your device.
Before an authorized analysis pilot accepts conversation data, we will explain the scope, processing providers, access controls and retention that apply, and obtain the necessary agreement or authorization. Planned AI analysis may use OpenAI's API. A future feature is not permission to collect your customer data today.
3. Technical information and optional analytics
Cloudflare processes ordinary request information, such as IP addresses, user-agent information, URLs and timestamps, to deliver and protect the website. Our application uses a short-lived hash of the request IP address to limit abusive form submissions. We do not store the raw IP address in the lead, contact or product-event tables.
Optional usage analytics are off until you choose to allow them. If enabled, they record a random session identifier, page path, limited campaign source and events such as opening the demo, inspecting evidence or viewing pricing. They do not contain your email address, form messages or transcript text. You can change this choice using the analytics control in the footer. Necessary technical storage is used for your privacy choice and form operation.
4. Service providers and processing location
Cloudflare provides website hosting, security and database services. Resend provides transactional email delivery. Google provides the company email inbox. These providers process information needed for their functions under their applicable terms and privacy practices. Their infrastructure may process or store information outside Québec or Canada, including in the United States; laws in those locations may permit access by courts or authorities.
The separate Firebase/Google Cloud project is reserved for product development and is not used to store public-launch form submissions. We do not sell personal information, share form contents with advertising networks, or use submissions to train our own AI models. We may disclose information where required by law or reasonably necessary to investigate abuse or protect legal rights.
5. Retention and deletion
Website database records for demo requests, pilot applications and contact messages are retained for up to 12 months from submission, unless a continuing relationship or a legal obligation requires a different period. Optional product-event records are retained for up to 30 days. Abuse-limit records expire after their short-lived window. Scheduled housekeeping removes expired records from the application database.
Forwarded messages and replies in our email inbox may be retained as needed for the conversation, an ongoing business relationship or applicable legal obligations. Hosting, delivery logs and backup copies follow the relevant provider's retention practices and may take additional time to expire. Contact us to request deletion; we will explain any information that must be retained and why.
6. Choices, access and complaints
You may request access to your personal information, correction, deletion where applicable, information about its use, or withdrawal of consent by writing to 10951811canadainc@gmail.com. You may also use the contact page. We may ask for proportionate information to verify your identity before disclosing or deleting a record. Withdrawing consent may prevent us from providing a requested service, but does not affect processing already lawfully carried out.
Devon Allary is the privacy contact responsible for receiving these requests and complaints. We will review your concern and respond within the time required by applicable law. You may also raise a concern with the Commission d'accès à l'information du Québec or another competent privacy authority. Optional launch-email consent is separate from a pilot application and may be withdrawn at any time.
7. Security and children
We use HTTPS, restricted server-side credentials, validated forms and limited access to application data. No internet service can guarantee absolute security. If an incident occurs, we will assess it and take protective and notification steps required by applicable law.
The service is intended for adult business users, not children. Do not submit children's personal information. If you believe such information has been submitted, contact us so we can investigate and remove it where appropriate.
8. Changes and contact
We will update this policy when our data practices change. The effective date appears on this page. Material changes will be announced on the website or communicated through another appropriate channel; we will obtain additional consent when required. Contact: 10951811canadainc@gmail.com.
